MSoft BloodHound - Implementation Approach
MSoft's normal practice is to hold a project kick off meeting in which all key responsible people define the overall plan and agree project team objectives. The following is a brief summary of typical key stages in a project:
Stage One - System Design
Following the Kick Off we consult with the client and agree the system design. This phase also sees the start of all the planning activity and the allocation of both MSoft and Client resources.
Stage Two - System Configuration
Following the design process we configure and review a test system. The Client is then asked to confirm that the design meets their requirement. Once this has been done a system is installed onsite for User Acceptance Testing (UAT). As part of UAT MSoft will supply a full validation and verification plan, that meets MHRA requirements, for the Client to use while testing.
Stage Three - System Pilots
System pilots can be carried out in stages so that different modules can be rolled out progressively. Full support is provided during the pilot phase so that any issues arising can be dealt with quickly.
Stage Four - Go-Live
The penultimate stage see system roll out and go live. This phase is planned closely with the Client to ensure that the timetable is realistic and meets their objectives and that the staff members working at point of care are well supported. MSoft offer tailored support during the Go Lve stage. On the day of the go live MSoft provide onsite Project Management, Training and Account Manager resource, while in the office the development and support teams are on standby to ensure the Client is adequately supported. For the two days following the go live dates, the project team determine whether it is sufficient to have a training presence remaining onsite with all other support being provided remotely.
Stage Five - Post Project reviews
MSoft’s aim to work closely with the Client, not just throughout the entire project but also after full Go Live to ensure the system remains compliant with future requirements and continues to be integrated in the Trusts evolving environment.
Training
MSoft believes that by far the biggest area for concern when implementing change in a Trust is providing adequate training.
Prior to go live dates, training is generally rolled out in 3 stages: Kiosk, Web Interface & Bedside Application. However MSoft works closely with the Customer to define your full training needs and provide the relevant material to help ensure a smooth transition. MSoft’s current clients have performed training in the following manner:
Kiosk
Training is communicated via a presentation showing step by step guidance on the system configuration, screen views and theory behind the processes. It’s then followed up with hands on testing at the nearest Kiosk location that is active. Additionally we can provide a training kiosk so that hands-on training can be performed in a classroom environment. Each session lasts up to 1 hour with 10 attendees.
Web Interface
Training can be communicated via presentation or hands on experience depending on facilities, connections and size of audience. This entails details on the communication process between lab systems and MSoft, how the web interface can be used for user management, how it can be used as a searchable tool for various staffing levels and blood management content. Full training lasts 3 hours with 10 attendees. A cut down session for nursing staff can be included with the kiosk training that just covers logon, search patient and change password.
Bedside Application
Training can be communicated again via presentation or hands on experience, again depending on facilities, connections and size of audience. This entails the various applications of the handheld bedside functions from ward receipting to sluicing the blood bags. Each session lasts 1 hour with 10 attendees. However this must be strongly backed up with on the ward support normally for 2 weeks after the system is introduced onto the ward.
e-Learning
MSoft can also deliver training via an E-learning facility. This training is an effective way of providing refresher training and training for new staff.
